Assistant Duties

Calendar Management:
Efficiently organize and maintain the executives’ schedules, ensuring they are up-to-date and synchronized.
Schedule and coordinate meetings, appointments, and events, considering priorities and preferences.

AI-Powered Email Preparation:
Utilize AI tools to draft and format emails on behalf of the executive, maintaining professionalism and clarity in communication.
Meeting Support:
Prepare and distribute Zoom links, documents, and other materials for meetings.
Assist in finding suitable meeting locations, either physically or virtually, when necessary.
Deadline Management:
Regularly communicate with the operations manager to stay informed about upcoming deadlines and scheduled activities.
Office Management:
Order and manage office supplies, ensuring the workplace is well-equipped and organized.
Schedule reservations for meetings, travel, or events, and have contingency plans in place.

Document Drafting:
Create, edit, and format documents, reports, and presentations as needed, maintaining a high standard of quality.

Communication and Point of Contact:
Serve as a point of contact for staff, clients, and external parties.
Direct phone calls, emails, and inquiries to the appropriate team members and ensure timely responses

Eastern Standard Time would be applicable please, 1pm to 6pm Monday to Friday
