Job Overview:
We are seeking a detail-oriented and proactive Administrative Assistant to help manage US compliance and general administrative tasks. The ideal candidate will be responsible for liaising with accountants, ensuring timely filing of tax documents, managing payroll processes, and providing overall administrative support to the CEO, an entrepreneurial business owner in the US on an L1 visa.
About the CEO:
The CEO is a British entrepreneur currently residing in the US on an L1 visa. They have incorporated a company in June 2023 and require assistance in managing US compliance tasks, ensuring timely and accurate filing of necessary documents, and handling other administrative responsibilities to support business operations. The company is growing rapidly, and the CEO values efficiency, reliability, and proactive problem-solving.
Responsibilities:
US Compliance and Tax Management:
Liaise with accountants to ensure federal tax returns (Form 1120 or 1120S) and quarterly payroll reports (Form 941) are filed accurately and on time.
Manage the process of filing for tax extensions (Form 7004) and keep track of deadlines.
Ensure compliance with state tax filing requirements.
Maintain organized records of all compliance-related documents.
Payroll Management:
Oversee payroll processes and ensure timely and accurate payment of employees.
Handle any issues related to payroll and liaise with payroll service providers as needed.
General Administrative Support:
Provide administrative support including scheduling meetings, managing emails, and handling correspondence.
Assist in organizing business documents and maintaining an efficient filing system.
Manage other general administrative tasks to support the smooth operation of the business.
Communication and Coordination:
Act as a point of contact between the CEO, accountants, and other stakeholders.
Ensure clear and effective communication across all parties involved.
Qualifications:
Proven experience as an administrative assistant or in a similar role.
Familiarity with US tax and compliance requirements (experience working with accountants is a plus).
Strong organizational and time-management skills.
Excellent communication skills, both written and verbal.
Proficiency in Microsoft Office Suite and other relevant software.
Ability to work independently and take initiative.
High level of attention to detail and accuracy.
Preferred Qualifications:
Experience working with entrepreneurs or small business owners.
Basic understanding of payroll processes and tax filings.
Previous experience managing US compliance for a company.
