Executive Assistant for Real Estate Broker. – Upwork

We are seeking a highly organized and proactive Executive Assistant to support a busy commercial real estate broker specializing in multi-family investments and land development. The ideal candidate will have experience in the real estate industry, possess excellent communication skills, and be adept at managing a wide range of administrative and executive tasks.

Key Responsibilities:

Administrative Support:

Manage and maintain the broker’s calendar, including scheduling appointments, meetings, and property showings.
Handle correspondence, including emails and phone calls, in a professional and timely manner.
Prepare and organize important documents such as contracts, proposals, and other real estate documents.
Client Management:

Serve as a point of contact for clients and investors, ensuring their queries are responded to promptly.
Assist in maintaining client relationships through regular follow-ups and updates.
Marketing and Lead Generation:

Assist in developing and implementing marketing strategies for property listings.
Help manage social media presence and email campaigns.
Coordinate with marketing vendors and oversee the production of marketing materials.
CRM Management:

Ensure the CRM system (e.g., RealNex) is regularly updated with the latest client information, property details, and communication logs.
Utilize CRM for generating reports and tracking leads.
Project Coordination:

Assist in the coordination of property transactions, including liaising with attorneys, CPAs, and other professionals in the network.
Monitor and manage project timelines to ensure timely completion of tasks.
Event Planning:

Organize and coordinate events such as open houses, client appreciation events, and networking events.

Proven experience as an executive assistant, preferably in the real estate sector.
Strong organizational and time management skills, with the ability to prioritize tasks.
Excellent verbal and written communication skills.
Proficiency in office software (e.g., Microsoft Office) and CRM systems, preferably RealNex.
Ability to work independently and as part of a team.
Knowledge of the real estate industry and current market trends.
High level of discretion and confidentiality.

Bachelor’s degree in Business Administration, Real Estate, or a related field.
Experience with digital marketing tools and social media platforms.
Real estate license or a background in commercial real estate.

Hourly Range: $5.00-$20.00
