Position Overview:
We are seeking a highly organized, proactive, and detail-oriented Administrative and Operational Support Specialist to enhance our team’s efficiency. This role is critical for managing day-to-day operations, enabling our core team to focus on strategic objectives and client-facing tasks. Your organizational skills will not only bring order to our digital and operational systems but also introduce innovative strategies to elevate our entire team’s productivity.

Position Highlights:

Initial Engagement: This role will start as a part-time position during a trial period of 6 weeks. Upon a successful trial, we aim to transition to a long-term arrangement with the goal of moving to a full-time commitment.
Flexibility with Structure: While starting part-time, we’re looking for someone with the flexibility to align closely with our team’s working hours (8 AM to 5 PM Eastern Time) for optimal collaboration.
Communication Excellence: Fluency in English is paramount for written tasks and occasional phone conversations with our team and clients, ensuring clarity and professionalism in every interaction.
Key Responsibilities:

Serve as the organizational backbone of our team, maintaining impeccable digital and operational systems.
Handle email correspondences, coordinate meetings, and manage schedules efficiently.
Assist in project management, tracking progress, and ensuring deliverables are met.
Conduct research to support business development and operational enhancements.
Oversee financial documentation for comprehensive budgeting and tracking.
Proactively identify areas for process improvement and implement solutions that enhance overall productivity.
Provide exceptional customer service, responding to inquiries and requests promptly.
Support digital marketing initiatives under guidance.
Qualifications:

Proven track record in administrative roles, preferably within technology or marketing sectors.
Exceptional organizational skills with an eye for detail and a knack for bringing structure to complex scenarios.
Superior communication skills in English, both written and verbal.
Proficiency in MS Office, Google Suite, and familiarity with CRM and project management tools.
Independent problem solver with a proactive approach to tasks and a natural at organizing thoughts, priorities, and workflows.
