Proactive Virtual Executive Assistant for High-Level Support – Upwork


Job Description:
We are on the lookout for a dynamic Virtual Executive Assistant to provide comprehensive administrative support to our executive team. This remote position requires a highly organized, tech-savvy individual who excels at managing multiple tasks and is capable of effectively streamlining executive operations. The successful candidate will be responsible for organizing emails, scheduling, creating summary reports, and assisting with a variety of executive tasks.

Responsibilities:
Email Management: Filter, sort, prioritize and organize incoming emails, help respond to queries on behalf of executives, and flag important messages that require utmost attention.
Scheduling: Manage and coordinate calendars for executives, schedule appointments, organize meetings, and ensure that scheduling conflicts are resolved efficiently.
Summary Reports: Compile and prepare executive summaries and reports, distill key data, and provide actionable insights to assist decision-making.
Document Preparation: Draft correspondence, presentations, and documents with a keen eye for detail, ensuring all materials meet the highest standards of quality and accuracy.
Communication Liaison: Act as the point of contact between the executives and internal/external clients, maintaining professionalism and confidentiality.
Task Management: Keep track of and follow up on outstanding tasks and projects, ensuring that deadlines are met and objectives are achieved.
Meeting Coordination: Help organize logistics for meetings, including video conferencing setup, agenda distribution, and minute-taking.

Requirements:
Proven experience as an Executive Assistant or similar administrative role.
Exceptional organizational skills and the ability to work independently.
Proficient in office management systems, email platforms, and MS Office suite.
Excellent verbal and written communication skills.
Strong problem-solving abilities and a proactive approach to task management.
High-speed internet connection and proficiency with virtual communication tools such as Zoom and Slack.
Available to work in Eastern time zone that match executive schedules.
