Remote Executive Assistant to the CEO – Upwork


We seek a highly organized and proactive Executive Assistant to support the CEO and the engineering team. In this role, the ideal candidate will help optimize the CEO’s time and provide maximum efficiency and effectiveness in performing the role. The role will offer a wide range of senior administrative support ranging from scheduling meetings, liaising with the board of directors and the senior management team, arranging travel, planning events, preparation minutes, reports, presentations and correspondence, management, maintaining documents and SharePoint Sites, providing human resource support for the Company and administrative support to the engineering team. The Senior Executive Assistant must be creative and enjoy working within a dynamic environment. The ideal individual will have the ability to exercise sound judgment in a diversity of situations, great attention to detail, strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

Key Responsibilities
– Complex scheduling and calendar management for the CEO, including the ability to balance priorities.
– Event Management – plan internal and external events and offsites.
– Arrange travel for the CEO and other executives. Prepare expense reports.
– Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executive is involved with.
– Arranging client and investor tours; organizing board meetings, strategy meetings etc.; supporting investor and client relations for the executive
– Represent the company and the CEO in a positive light through great follow-through skills, attention to detail, prioritization, communication and sound judgment.
– Assist the engineering team with administrative tasks, including preparing purchase orders, ordering materials, scheduling meetings, helping clean up presentations, timekeeping, etc.
– Assistance in general administrative tasks of the Company, including Human Resources and Sales activities – tasks may include going through resumes, scheduling initial interviews, updating Hubspot, LinkedIn and other key items
– Ad-hoc projects and assignments
– Manage sensitive matters with a high level of confidentiality and discretion.
– Excellent communication and time management prioritization
– Being a proactive team member by anticipating needs of CEO and business

Qualifications:
– 7+ years of related experience required in working in an executive assistant role supporting C-Level executives.
– Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
– Ability to communicate effectively and professionally (written and oral).
– Business sense – has a strong business sense and can decipher priorities and make sound judgment calls when needed.
– Commitment to excellence – perform duties at the highest level possible on a consistent basis.
– Team player – have team-oriented experience and approach.
Service focus – dedicated to meeting the expectations of the CEO and other senior executives by maintaining effective relationships with interested parties.
– Strong problem-solving skills and ability to operate independently with minimal supervision
– Ability to represent the CEO and Company in a professional and polished manner – ability to confidently handle oneself with a wide range of personalities and entities (business partners, clients, board members , employees, etc.)

Primary Location: Remote. Must work in Eastern Standard Time.

Hourly Range: $5.00-$8.00
