Key Responsibilities
– Complex scheduling and calendar management for the CEO, including the ability to balance priorities.
– Event Management – plan internal and external events and offsites.
– Arrange travel for the CEO and other executives. Prepare expense reports.
– Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executive is involved with.
– Arranging client and investor tours; organizing board meetings, strategy meetings etc.; supporting investor and client relations for the executive
– Represent the company and the CEO in a positive light through great follow-through skills, attention to detail, prioritization, communication and sound judgment.
– Assist the engineering team with administrative tasks, including preparing purchase orders, ordering materials, scheduling meetings, helping clean up presentations, timekeeping, etc.
– Assistance in general administrative tasks of the Company, including Human Resources and Sales activities – tasks may include going through resumes, scheduling initial interviews, updating Hubspot, LinkedIn and other key items
– Ad-hoc projects and assignments
– Manage sensitive matters with a high level of confidentiality and discretion.
– Excellent communication and time management prioritization
– Being a proactive team member by anticipating needs of CEO and business
Qualifications:
– 7+ years of related experience required in working in an executive assistant role supporting C-Level executives.
– Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
– Ability to communicate effectively and professionally (written and oral).
– Business sense – has a strong business sense and can decipher priorities and make sound judgment calls when needed.
– Commitment to excellence – perform duties at the highest level possible on a consistent basis.
– Team player – have team-oriented experience and approach.
Service focus – dedicated to meeting the expectations of the CEO and other senior executives by maintaining effective relationships with interested parties.
– Strong problem-solving skills and ability to operate independently with minimal supervision
– Ability to represent the CEO and Company in a professional and polished manner – ability to confidently handle oneself with a wide range of personalities and entities (business partners, clients, board members , employees, etc.)
Primary Location: Remote. Must work in Eastern Standard Time.
Hourly Range: $5.00-$8.00
