The Role:
We’re looking for a full-time Remote Executive Assistant to support our leadership team, manage various administrative tasks, and help drive our businesses forward through efficient organization and proactive assistance.

Key Responsibilities:
1.Administrative Support: Manage calendars, schedule appointments, and coordinate travel arrangements for leadership.
2. Financial Management: Handle billing, accounts payable, and accounts receivable across all businesses.
3. Client and Team Communication: Reach out to clients, team members, subcontractors, and vendors on behalf of leadership.
4. Content Management: Assist with basic video editing, use AI tools (ChatGPT, Claude) for content creation, and manage social media postings.
5. CRM Management: Send emails and texts to clients/prospects within our CRM (Go High Level).
6. Event and Training Support: Post replays of training into Skool.com and send out alerts.
7. Research and Data Entry: Conduct client surveys, assist with hiring processes, and perform data entry tasks.
8. Website Management: Make minor website updates using WordPress Elementor Pro.
9. Marketing Support: Use Canva for marketing-related tasks and assist with lead generation using data scraping tools.
10. Project Management: Track deadlines, milestones, and deliverables for various projects across all brands.
11. Document Preparation: Create and organize presentations, reports, and other business documents.
12. Customer Service: Handle initial inquiries and direct complex issues to appropriate team members.

Required Skills and Experience:
-Excellent written and verbal communication skills in English
-Strong organizational and time management abilities
-Proficiency in remote collaboration tools (Zoom, Loom, Google Suite, and Slack)
-High attention to detail and ability to manage multiple tasks simultaneously
-Proactive problem-solving skills and ability to work independently
-Experience with basic financial processes (billing, AP/AR)
-Comfort with learning and adapting to new software quickly
-Customer service orientation and friendly demeanor
-Experience with content creation and editing
-Ability to work within the 8 am to 5 pm EST time frame

Desired Skills (Training Provided):
-Familiarity with CRM systems, particularly Go High Level
-Experience with WordPress and Elementor Pro
-Knowledge of AI tools like ChatGPT and Claude for content creation
-Basic video editing skills
-Experience with Canva for graphic design
-Familiarity with project management principlesUnderstanding of social media management and marketing principles

Work Arrangement:
-This is a remote, full-time position requiring availability during business hours (8 am to 5 pm EST) for team collaboration and client communication.

1. Project Support:
Measure: On-time delivery of project-related tasks
Target: 90% of project deadlines met

2.Meeting Preparation:
Measure: Completeness of meeting materials
Target: 100% of meetings have all necessary materials prepared 24 hours in advance

3. Client Satisfaction:
Measure: Feedback from key clients on interaction with the assistant
Target: Average rating of 4.5/5 or higher

4. Internal Team Satisfaction:
Measure: Feedback from team members on assistant’s support
Target: Average rating of 4.5/5 or higher

5. Proactive Initiative:
Measure: Number of proactive suggestions or actions that saved time or improved efficiency
Target: At least 2 noteworthy proactive initiatives per month

6. Learning and Adaptation:
Measure: Proficiency gained in new tools or processes
Target: Demonstrate proficiency in any new tool within 2 weeks of introduction

7. Financial Accuracy:
Measure: Accuracy in financial tasks (e.g., expense reports, basic bookkeeping)
Target: Less than 1% error rate in financial entries
