Job Title: Virtual Assistant/Clinic Manager for Telepsychiatry Clinic

NOTE: LOOKING FOR LONG TERM COMITTMENT WITH PACIFIC TIME ZONE HOURS, STARTING PART TIME AND GROWING TO FULL TIME.

About Us: Anxiety Relief Clinic is a rapidly growing telepsychiatry clinic specializing in the treatment of OCD and anxiety-related disorders. We are dedicated to providing high-quality care and support to our patients through video based visits with expert psychiatric providers.

Position Overview: We are looking for someone ready to support and shape a new and in demand clinic. Must be tech-savvy and detail-oriented Virtual Assistant to support our clinic’s operations. This role involves communicating with patients, as well as assisting with registration, claims, invoicing, prescription refill routing, and other unanticipated needs as the clinic grows.

Key Responsibilities:
-Communicate effectively with patients via email and phone to assist with welcoming patients to the clinic, guiding them through the intake process, and troubleshooting issues they experience with scheduling, using video conferencing, and other inquiries.
-Ensure patients have completed clinic questionnaires completely and in a timely fashion.
-Registering patients with our insurance billing partners, file insurance claims, manage invoicing, and develop and conduct payment collections tracking.
-Follow-up with patients who cancel or miss their appointments.
-Prepare and manage various reports as needed, such as appointment logs, payment reports, or patient feedback summaries.
-Assist with preparing documentation for internal meetings or audits.
-Ensure compliance with state and federal regulations, such as HIPAA.
Triage communications and medication refill requests to determine when medical provider attention is required.
-Support the clinic’s marketing efforts and assist with patient outreach programs.
-Ensure all documentation is filed properly.
-Ensure that all patient information is handled in accordance with HIPAA regulations and maintain confidentiality and secure handling of sensitive data.
-Assist with various administrative tasks and special projects as assigned by clinic leadership.

Qualifications:
#Required –
-Fluency in English: Must be completely fluent in English, both written and spoken.
-Connectivity: Must have reliable and consistent high-speed internet connectivity.
-Compassionate: Must be able to handle patient interactions with care and understanding.
-Experience: Prior experience as a Virtual Assistant in a healthcare setting.
-Skills: Tech savvy, flexible, efficient, and eager to learn with a proactive attitude. Strong organizational and communication skills.
#Preferred –
-Experience working in mental healthcare.
-HIPAA Certified: Must be HIPAA certified or willing to complete online certification.
-Google Suite Proficiency.

Work Schedule:
-Looking for a two year commitment, someone ready to help build and grow a young clinic.
-Initially part-time, but your schedule must allow room for growing to full time as the clinic expands.
-Must be available 5 business days per week, preferably with some time in both morning and afternoon to start (US Pacific Coast Time) each day so that patient questions can be responded to in a timely manner.
