(Spanish/English) Bilingual Executive Assistant to Attorney – Upwork


Join our dynamic team at Murrar Law, an Immigration Firm in Wisconsin, as a Bilingual Executive Assistant. We are seeking a proactive and results-driven individual to assist our busy attorney in managing tasks and ensuring optimal productivity. As a key member of our team, you will play a crucial role in streamlining operations through effective communication and strategic organization.

Responsibilities:
– Email Management: Regularly review and manage incoming emails, ensuring issues are efficiently resolved or flagged/pinned for the attorney’s attention. Additionally utilize Slack for notifications.
– CRM Management: Use the firm’s CRM tool, CampLegal, to manage the attorney’s tasks, update lead tickets, verify completion of consult notes, check on sent fee agreement requests, and track outstanding tasks that need to be completed by the Attorney among other tasks.
– Template Management: Create or revise templates in CampLegal per the attorney’s instructions.
– Daily Check-In: Conduct a 15-minute check-in meeting with the attorney each morning.
– Meeting Organization: Maintain organization for internal meeting notes and ensure the attorney is prepared for all meetings.
– Task Planning: Plan and organize the attorney’s day-to-day tasks to maximize productivity.
– Document Drafting: Draft documents as required by the attorney, ensuring accuracy and attention to detail.
– Document Translation: Assist with document translation tasks when required.
– Administrative Support: Perform other administrative tasks as needed by the attorney or the firm. Prior experience in the following different tools and softwares such as Ring Central, Slack, Camplegal, Pandadoc, Jotform, Microsoft Outlook, Microsoft Sharepoint, Microsoft Teams, Microsoft OneNote, AI Notetaker, Todoist/Monday, GoHighLevel,  Zapier, among many others, is desired.

Requirements:
– Prior Experience: Demonstrated experience and understanding of CRM systems is essential, with previous experience in a similar role required.
– Excellent Communication: Strong written and verbal communication skills in both English and Spanish, with the ability to interact professionally with clients and colleagues.
– Organizational Skills: Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
– Attention to Detail: Meticulous attention to detail, particularly in documenting interactions and managing client information accurately.
– Adaptability: Flexibility to adapt to changing priorities and responsibilities, with a willingness to take on new challenges as needed.
– Bilingual Proficiency: Proficiency in Spanish and English is required.
– Problem-Solving Skills: Strong problem-solving skills, with the ability to identify and implement effective solutions to enhance productivity.
– Proactivity and Problem-Solving: Ability to proactively identify and solve problems, and suggest ways to improve the attorney’s productivity.
– Workspace: A high-performing computer and a work environment free from noise and interruptions, allowing for focused and efficient task completion. Reliable high-speed internet with minimal connectivity issues and a stable power supply in your area that isn’t prone to frequent outages.
