Customer Care Virtual Assistant – Upwork


CLIENT CARE/VIRTUAL ASSISTANT
For online training site

HeartSong Creative Academy is an online training school for worship leaders, songwriters, vocalists and creatives. Using the Thinkific platform there are over 1,000 students and over 3,500 enrolments. There are also over 20,000 regular students on other platforms worldwide.

We are looking to hire someone to work 2-6 hours per week (depending on launches and events that are happening).

You must have experience with Thinkific and Stripe platforms to apply.

The job includes:

Being the point person for students for questions like “I Have forgotten my password, I can’t find my course, my payment has not gone through etc” (as examples);

Make sure once a week that all payments have gone through and check if there’s been any bounces/credit card fails and contact students to make sure their payments go through/they need help;

Schedule live zoom calls as needed – load them in to google drive from the cloud, add them to thinkific, notify students when it’s available;

Remind students of zoom calls, set up the link, notify them using Thinkific contact list;

Be available to answer general tech questions, create coupons for people interested in particular courses when required etc;

You must be available on call during office hours, Monday to Friday Australian time. Because of the nature of the work, it is hard to offer you actual weekly hours (for example, if someone has a problem logging in on a Monday, and you work on a Friday, that length of time is not an ideal response time:)).  However keep in mind, most enquiries will only take 10-15 minutes of your time;

There will only be a few times that there is a scheduled time you would be needed (for a webinar for example to mann the chat etc);

Check in with our CEO via zoom call once a month to cover anything that is or isn't working/touch base, and be in regular email contact weekly for updates;

There is also some other work due soon in helping to update to the new templates and design, experience with the changeover is favourable but not essential. If you already use Thinkific you will find this process not difficult.

This type of role would suit:

An already working VA who has other clients/projects and can fit our work in on a day to day basis for enquiries, then once a month and as needed be available at appointed times (for example for a webinar etc);

Someone willing to work with us long term;

Experience with Thinkific and Stripe platforms essential. Please do not apply if you do not have experience with these platforms;

At the very least we envision 1 hour per week, but my guess is it will be more than 2-4 hours a week and will increase as the school grows;

A background in church/christian ministry would be favourable but not essential. (this is our main customer base).

You do not need to live in Melbourne as this is a digital role.
