IMPORTANT: Your working hours must overlap from 8 AM to 10 PM EST by at least 4 hours on the days you work. Additionally, you must be able to work at least every other day (i.e., you cannot skip two consecutive days).

*This position requires 10-20 hours per week, but the hours will likely increase steadily and transition to full-time within a few months.

**You must have native proficiency in English to communicate effectively with our team. We will provide templates for email and text message communications with patients. Comfort with calling patients is a plus.

WHO WE ARE

We are a rapidly growing telehealth nutrition counseling company, and we’re looking for a virtual assistant to handle various administrative tasks. This role is crucial in ensuring our operations run smoothly and efficiently.

VIRTUAL ASSISTANT

We receive many patients from a major online marketplace who seek nutrition counseling and book appointments directly with our providers. A key part of your role will be to manage these patient bookings by coordinating better time slots based on our providers’ calendars, sending necessary forms to patients, and ensuring that all forms are completed prior to their appointments. Since these patients do not use our automated booking system, your assistance is essential in managing these bookings effectively.

You will work directly with the two owners of the company to ensure a seamless process.

RESPONSIBILITIES

In addition to the tasks mentioned, your responsibilities will include:

– Managing administrative tasks, including email correspondence using templates and providing customer service.
– Assisting with insurance verification by checking eligibility and coverage details.
– Supporting patient onboarding and scheduling, and verifying personal and medical information.
– Offering support and guidance to patients using our telehealth platform.
– Managing appointments and sending reminders for required paperwork.

QUALIFICATIONS

– Minimum of 3 years of expert-level experience as a virtual assistant or in an administrative role.
– Exceptional organizational skills, adaptability, and attention to detail.
– Excellent written and verbal communication abilities, with strong tech proficiency.
– Experience with telehealth platforms or the healthcare industry is preferred.
– Understanding of HIPAA regulations and experience in maintaining patient confidentiality.
