Position Overview:
We are seeking a motivated and detail-oriented individual to join our team as a Virtual Construction Coordinator/Receptionist. This remote role involves managing administrative tasks, coordinating project activities, and providing excellent customer support to our clients, subcontractors, and team members.

Responsibilities:

Virtual Reception Duties:

Serve as the primary point of contact for phone calls, emails, and online inquiries.
Greet clients and visitors in a professional and courteous manner.
Direct calls and messages to the appropriate departments or individuals.
Manage virtual meeting schedules and coordinate video conferences.
Administrative Support:

Provide administrative assistance to the project management team, including scheduling appointments, preparing documents, and organizing files.
Assist in the procurement process by obtaining quotes, placing orders, and tracking deliveries.
Maintain accurate records of project documentation, contracts, and permits using virtual tools and software.
Project Coordination:

Collaborate with project managers to coordinate project activities, schedules, and resources.
Communicate effectively with subcontractors, suppliers, and other stakeholders to ensure timely completion of projects.
Track project progress, update schedules, and report any delays or issues to the appropriate parties.
Assist in the preparation of project budgets, estimates, and cost analysis reports.
Customer Support:

Address client inquiries and concerns in a timely and professional manner.
Provide updates on project status and address any issues or changes as needed.
Ensure customer satisfaction by delivering high-quality service and resolving any issues promptly.
Qualifications:

Proven experience in a receptionist or administrative role, preferably in the construction industry.
Excellent verbal and written communication skills.
Proficiency in using virtual communication tools such as Zoom, Microsoft Teams, and Slack.
Strong organizational and multitasking abilities.
Familiarity with construction terminology and processes, especially insulation, drywall, and painting, is preferred.
Ability to work independently and remotely with minimal supervision.

Hourly Range: $4.00-$11.00
